The challenge
The whole orientation method ran on Google Forms, Sheets and Docs. Students answered a questionnaire in one tool, a spreadsheet full of formulas turned those answers into scores, and the result came back as a booklet. The pieces never met, so no counsellor could see where a student stood, and no student could follow their own process.
What we built
One portal on Softr where the journey happens end to end: the questionnaire, free exploration of the suggested degrees, module by module ratings from 1 to 10, and a ranked shortlist. Counsellors get a page per student with meeting notes, application strategy, a country table with safe, solid and reach universities, suggested admission tests and an IB subject check, plus a cohort dashboard across the year group. Phase 1 was live in 8 days, in time for the first student session in January.
About the project
Valdo Academics guides students at international schools in Italy through the decision of what to study and where. Its method lived in Google Forms, Sheets and Docs: a questionnaire in one place, a spreadsheet of scoring formulas in another, and a booklet sent back to each student at the end. Nothing connected, and no counsellor could see a student's full journey in one view.
Base Flows rebuilt that journey as a portal on Softr with Softr Databases. Students answer the orientation questionnaire inside the app, then explore the degrees it points them to and rate every course module from 1 to 10. The portal ranks those degrees by the student's own scores and breaks each one down by year and by how much maths the modules carry.
The counsellor side turns all of that into a working page per student. Meeting notes sit at the top as an editable table the counsellor can add columns to, followed by the degrees the student explored, a country table where each destination is marked definite, maybe or excluded with its safe, solid and reach universities, and the admission tests that each country and degree combination calls for. The IB subject check puts the six subject groups, the subjects each school offers and the student's three choices side by side, so a counsellor can catch that a missing higher level maths closes a degree in the UK while there is still time to change it.
Cohort Insights aggregates the year group for counsellors and admins: how many students have finished, where the cohort is applying, which degrees come up most often and which admission tests to prepare for, with cross filters and a briefing export. Softr Workflows handle the record automations behind the journey, and the scoring the agency already trusted stays in its own spreadsheet, connected back into the portal.
