The pharmacy team at one of the company's sterile compounding sites planned each day's rotation across ISO 7 and ISO 8 clean room positions with spreadsheets and informal coordination. Every morning someone had to check who was in, match people to the positions they were qualified for, and keep the same technicians from landing on the same critical stations day after day. Attendance sat in separate records, and turning it into feedback meant exporting timesheets and building pivot tables by hand every couple of months. There was no reporting layer underneath: no view of coverage, rotation balance, or punctuality trends.

PharmaShift is the shift rotation and attendance platform of a pharmacy team at one of a Fortune 500 pharmaceutical company's sterile compounding sites. Before it, the team planned each day's rotation across ISO 7 and ISO 8 clean room positions with spreadsheets and informal coordination: checking who was in, matching people to the positions they were qualified for, and keeping the same technicians from landing on the same critical stations day after day. There was no reporting layer underneath. We mapped how rotations, qualifications and clean room areas actually worked, then built the platform on Softr and Airtable for three roles: admins, pharmacists and technicians. Every day starts the same way: mark attendance, auto-assign positions, review the draft and publish, with today's and tomorrow's shifts planned side by side. Technicians can ask for a different position with a reason, and pharmacists approve or reject every change. The core is the auto-assignment. Make looks at the positions each person has worked in past shifts and proposes a rotation that moves everyone across every position, within their qualifications, the staffing limits of each position and a limit on consecutive days in the ISO 7 sterile core. The result runs on a wall display in the pharmacy, refreshing every minute with the day's positions by clean room area, staff photos, shift comments and pending changes. The analytics are custom Vibe Coding blocks. A balance dashboard tracks missing required positions per technician, a 30-day trend against a threshold and a coverage heatmap, and analytics views break assignments down by date, position and employee. Clock-in and clock-out include geolocation validation, late check-in justifications and a custom entrance time per employee. The platform went live 5 weeks after discovery and is run daily by the pharmacy team. A second phase replaced the manual timesheet exports and pivot tables behind attendance feedback with punctuality analytics for managers and pharmacists, plus a personalized monthly attendance report that Airtable sends automatically.
