Built on Softr in 10 weeks, it pairs a public site in four languages with a guided submission flow, e-signed releases, an admin review workspace and a gated, weighted judging process.
Instituto Fe y Vida invites young Latino Catholics across the United States, Latin America and the Caribbean to answer a shared prompt through writing, visual art and music, and selected works travel to regional gatherings called Encuentros. To run it, the team needed one place to receive work in several languages, capture consent and signed releases, route every submission through eligibility and judging, and keep participants informed, all managed by a small ministry team without technical staff.

Instituto Fe y Vida invites young Latino Catholics across the United States, Latin America and the Caribbean to answer a shared prompt through writing, visual art and music, and selected works travel to regional gatherings called Encuentros. The team needed one place to receive that work in several languages, capture consent, run judging and keep participants informed, without technical staff. Base Flows built Nuestras Raíces on Softr and Softr Databases. The public site went live 11 days after the scope was signed, and submissions opened ten weeks in. The site and the submission form work in English, Spanish, Portuguese and French, and the team edits every page and translation in place. Participants follow a guided six-step flow: their profile, one of three streams (Palabra Viva for writing, Artes Vivas for visual art and Música de Fe for music), the details of the work, the upload, a release signed inside the form and saved as PDF, and a final review. The team works from an admin dashboard that breaks submissions down by status, stream and region, a searchable submissions table, and a review screen for status changes, files and messages. Judges check each work for eligibility, appropriateness and legal clearance before scoring it on three weighted criteria. Program setup lives in the same app: rounds, regions, countries and categories. The first round covers 25 countries in four sub-regions, assigned automatically by country of residence. Accessibility was reviewed against WCAG 2.1 AA, the team was handed over with documentation, and a second phase is now underway.
