Cresa's Client Solutions team ran 200+ pursuits and 125+ RFPs a year across three lines of work: pursuits, client projects, and internal initiatives. Only pursuits had a dedicated tracker. Client and internal work lived in email, spreadsheets, SharePoint, and individual memory. Leadership had no single source of truth for pipeline health, win/loss intelligence, or team capacity, and the team depended on individuals rather than systems. The firm internally estimated the manual load at ~975 staff hours and ~$60K a year, capping capacity for dozens of additional RFPs.

Cresa is a global commercial real estate advisor that works only for occupiers. Its Client Solutions team ran 200+ pursuits and 125+ RFPs a year across three lines of work: pursuits, client projects, and internal initiatives. Only pursuits had a dedicated tracker. Client and internal work lived in email, spreadsheets, SharePoint, and individual memory, and leadership had no single source of truth for pipeline health, win/loss intelligence, or team capacity. The firm internally estimated the manual load at ~975 staff hours and ~$60K a year. Base Flows started with a structured discovery covering personas, access controls, the pursuit lifecycle, and a risk register, building on an internal prototype from Cresa's own team. From there we built ProjectHub on Softr and Softr Databases, bringing all three types of work into one Account → Project → Task hierarchy, with role-based access for every team. The interface is built in custom Vibe Coding blocks. Each role opens a dashboard with its own numbers, calendar, and activity. Every pursuit moves through a lifecycle view with stage checklists and a value breakdown by service line. A workflow board shows unassigned work next to each team member's load, and a Broker Scorecard ranks advisors by win rate and conversion rate. Softr Workflows log every change, notify the right people on new projects and assignments, and send weekly and bi-weekly digests. Leadership reporting is self-serve. The Projects Report covers pipeline value, win rate, aging, and stage history, and recurring report emails go out on a schedule. In a second phase we added an AI Report Builder: someone asks a question in plain English, and the builder turns it into a live report with KPIs, charts, and the underlying list, running on current Cresa data. We migrated and validated ~600 historical pursuits in a single cutover and went from discovery to production in 10 weeks. ProjectHub is now the operating system of the Client Solutions team, Cresa runs it in-house with its own Super Admins, and it is expanding to the Lease Administration and Technology teams.
